## “We get leads. Follow-up is another story.”

You paid for the campaign. Someone filled out the form. Then the conversation disappeared into a shared inbox. Sound familiar? Getting a lead and turning it into a useful sales conversation are two different jobs.

### Where the follow-up gap starts

This often looks like a people problem until we trace the handoff. A form notification goes to three people, but none of them is the owner. A contact gets assigned without a task. Sales calls someone “not ready,” while marketing thinks they are qualified. The CRM records activity, but it does not tell anyone what should happen next.

Lifecycle stage, lead status, and deal stage can also get mixed together. Those fields should answer different questions: where is the person in the broader relationship, what is happening in the current conversation, and where is the actual opportunity? When they all try to do the same job, the reporting and the follow-up both get messy.

### What the business feels

Prospects wait. Reps spend time finding context instead of having conversations. Marketing keeps buying more traffic because nobody can see that the existing leads are stalling. Meanwhile, the people doing the work feel like they are being blamed for a process nobody clearly designed.

### How we scope the fix

We start by following a few real leads from first touch to their current outcome. We look at the form, source, owner, notification, first response, qualification decision, and next action. A happy-path demo is useful. The weird exceptions are where we learn the most.

- What makes a lead worth a sales conversation?
- Who owns it, and what happens when that person is unavailable?
- What response expectation can the team actually meet?
- Which conversations belong in nurture, and which need a person now?
- Can we see a lead with no owner, no response, or no next action?

That gives us a scope based on the handoff that is breaking. It might be a focused routing repair. It might need status redesign, automation, team training, and reporting together.

### What a solution could look like

Picture an inquiry landing in HubSpot with its source and useful context intact. It goes to the right owner, creates a next action, and escalates when it has been sitting too long. The rep records a clear outcome. A prospect who is interested but not ready moves into an appropriate nurture path instead of disappearing.

We can build assignment rules, tasks, notifications, lead-status definitions, lifecycle logic, and follow-up workflows. Where sequences fit, we design them around a real conversation and the capabilities in your subscription. The team gets a simple operating guide so the system makes sense after we leave.

### A practical example

**Illustrative scenario:** a service company has website inquiries going to a shared inbox. We replace the “somebody should call them” handoff with territory ownership, an initial-response task, and an exception queue. The useful result is visibility: a manager can see what needs attention without asking every rep for an update.

### How we know it is working

We agree on measures before the build: time to first meaningful response, leads without owners, overdue next actions, qualification outcomes, and progression into opportunities. We also ask the team whether the process is usable. A beautiful dashboard does not rescue a handoff people cannot follow.
